South Star Inclusion Services – Connect and Play Sessions

Terms & Conditions

By booking onto a Connect and Play Session with South Star Inclusion Services, you agree to the following terms and conditions:

Booking & Payment

  • Your booking is not confirmed until payment has been received.
  • Paid-for spaces will be given priority where sessions have limited capacity.
  • Payments will be returned if a class has to be cancelled due to unforeseen circumstances by South Star Inclusion Services.

Refunds & Missed Sessions

  • We do not issue refunds for missed sessions due to personal circumstances, holidays, appointments, or illness.
  • Refunds or credits are only provided where a session is cancelled directly by South Star Inclusion Services.

Health & Illness

  • You must refrain from bringing your child to a session if they have experienced any form of illness, sickness, diarrhoea, fever, or contagious condition within 48 hours prior to the class.
  • If a child becomes unwell during a session, parents/carers may be asked to leave early for the wellbeing of all attendees.

Medical Information

  • All medical conditions, allergies, behavioural needs, diagnoses, or additional support requirements must be declared during registration.
  • Parents/carers are responsible for keeping this information up to date by contacting us at southstarinclusion@gmail.com.

Photography & Media Consent

  • Photographs and videos may occasionally be taken during sessions for promotional and marketing purposes.
  • You must declare during registration if you do not wish your child to be photographed or included in marketing materials.
  • Any changes to consent preferences must be communicated via email or phone prior to attendance.

Safety & Supervision

  • Parents/carers remain responsible for supervising their child at all times during sessions unless otherwise stated.
  • Parents/carers must remain on site for the full duration of the session and are not permitted to leave the premises while their child is attending.
  • Parents may leave their children in the hall to join us in The Hub, provided a member of staff has been informed beforehand.
  • South Star Inclusion Services and any of their staff are not responsible for any loss, damage, accident, or injury sustained during the class, except where caused by proven negligence.

Behaviour & Respect

  • We aim to provide a safe, welcoming, and inclusive environment for all children and families.
  • South Star Inclusion Services reserves the right to remove from the programme, without refund, anyone who is abusive, threatening, discriminatory, or inappropriate towards staff, volunteers, children, or other attendees.

Additional Needs & Inclusion

  • We strive to make sessions accessible and inclusive for all children.
  • Parents/carers are encouraged to share any strategies, triggers, communication methods, or support needs that may help staff provide the best possible experience.

Personal Belongings

  • Attendees are responsible for their own belongings. South Star Inclusion Services cannot accept liability for lost, stolen, or damaged items.

Changes to Sessions

  • Session times, venues, staffing, activities, or schedules may occasionally need to change. In the unlikely event that changes are necessary, we will provide as much notice as possible where circumstances allow.

Emergency Situations

  • In the event of an emergency, staff may administer basic first aid and contact emergency services if necessary.
  • By attending, you consent to emergency medical treatment being sought for your child if you cannot be contacted immediately.

Data Protection

  • Any personal information provided will be stored securely and used only for purposes related to registration, safeguarding, communication, and service delivery, in line with UK data protection regulations.

Agreement to Terms

By booking and attending a Connect and Play Session, you confirm that you have read, understood, and agreed to these Terms & Conditions.
